Xero - How to Tidy Customer Data to Import from Xero to Auxo Workshop

If you need to clean up your Xero customer data before importing it into Auxo, this article will guide you in the right direction.

To hit the ground running with your Auxo system, consider updating and adding more information to your existing customer contact details in Xero. This article will help you organize and keep these details up-to-date. Follow these quick steps to export, amend, and update your customer data in Xero:

1- Export Data in Xero

Click Contacts All contacts

On the upper right-hand side, click on the 3 dots and Select Export.

An excel spreadsheet file will be dowloaded, named: Contacts

2 - Update Data in the Excel Spreadsheet

When you open the excel file, please make sure the following Excel Collumn are filled with some information: ContactName, FirstName, LastName and PhoneNumber.

⚠️Important: If FirstName and/or PhoneNumber fields are left empty for a specific contact, that contact will not be imported into Auxo as they are required values.

Tips

  1. First Name Field: If the First Name field is empty, copy the information from the Contact Name field and paste it into the First Name field.

  2. Last Name Field: If the Last Name field is empty, fill it with the word “blank”.

  3. Phone Number Field: If the Phone Number field is empty, add “379” to help locate and update the phone number in the future.

3 - Importing Customer Data back in to Xero

After the excel file is updated, please Save it, then Upload back to Xero as follows:

  • Click Contacts All contacts

  • On the upper right-hand side, click on the 3 dots and Select Import.

  • You will then see the following screen:

  • Under the Upload Contacts heading click Select File then select the Excel spreadsheet you updated.

  • Important - Ensure the option for "On importing an existing contact, empty fields will" is set to Be Ignored, per the screenshot above.

  • Click Next

Please read the on-screen Import Summary (example below) and if everything looks good, please proceed on Complete import button:

4 - Import the Updated Xero Customers into Auxo Workshop

Now we just need to Import those changes into Auxo, and we are all set...

  • Navigate to Addons → Xero Accounting → Configuration

  • On the right hand side, click Import Customers Data

Your updated customer data from Xero should now start importing into Auxo Workshop. A progress bar will display on screen.

Going forward, any changes you make to your customers in Auxo will be reflected in Xero, and vice versa if you make changes in Xero.
