πOverview
If your business runs more than one workshop across multiple locations, but operates under a single legal entity with one Xero organisation, you can connect each Auxo Workshop account to that same Xero organisation independently.
Each Auxo Workshop account maintains its own Xero sync settings, account mappings, and integration preferences. Transactions from each workshop are posted to your shared Xero organisation separately, and you can use Xero tracking categories to tag each transaction by workshop so you can report on each location individually in Xero.
π‘ Tip: Using tracking categories alongside this setup is strongly recommended. Without them, there is no way to distinguish transactions from different workshops once they are in Xero.
π See Xero Tracking Categories for setup instructions.
β Before you begin
Check the following before connecting a second or additional Auxo Workshop account to your Xero organisation:
All Auxo Workshop accounts and the Xero organisation must be in the same country (Australia or New Zealand).
Your Xero plan must be a supported tier. Starter, Ignite, Ledger, Cashbook, and Lite plans are not supported.
Each Auxo Workshop account must use a unique invoice number prefix.
Because all accounts post to the same Xero organisation, duplicate invoice numbers will cause sync errors. Update the prefix for each account in Settings > Configure System before connecting.
π See Getting Ready for Xero Integration for a full overview of prerequisites.
β οΈ Important: Set up unique invoice number and purchase order prefixes in each Auxo Workshop account before connecting to Xero. For example, use "W1-" for your first workshop and "W2-" for your second. Duplicate invoice numbers across accounts will cause Xero sync errors.
π How to connect each account
Each Auxo Workshop account connects to Xero independently using the standard connection flow. Repeat this process for each Auxo Workshop account, selecting the same Xero organisation each time.
If your Xero login has access to more than one Xero organisation, you will be shown an organisation selection screen during the connection flow. Make sure you select the correct Xero organisation for each workshop.
π Note: Connecting multiple Auxo Workshop accounts to the same Xero organisation is a supported configuration. Each account's sync settings are fully independent and do not affect one another.
π See Xero Setup 1 β Activate and Connect for full connection instructions.
βοΈ After connecting: recommended setup steps
Once each account is connected, complete the following for each one.
Configure account mapping
Review and configure your Xero account mapping to ensure income, expenses, and other transaction types are mapped to the correct chart of accounts.
π See Xero Setup 2 β Account Mapping for details.
Set up tracking categories
Configure a tracking category in each Auxo Workshop account so transactions are tagged by workshop in Xero. In summary:
Create a tracking category in Xero (for example, "Location") with one option per workshop (for example, "City", "North Shore").
In each account's Xero Sync Settings, select the same tracking category and choose the option that corresponds to that specific workshop.
π See [Xero Tracking Categories] for full instructions.
Review sync settings per account
Each Auxo Workshop account has its own sync settings. Review these independently. Settings such as whether to send purchase orders to Xero or create cost of goods sold journals may differ across workshops depending on how each operates.
π See Xero Setup 3 β Import Customers, Configure Tax Rates and Sync Settings for a full walkthrough of sync settings.
π Disconnecting one account
If one Auxo Workshop account disconnects from Xero while other accounts are still connected to the same Xero organisation, the shared Xero connection is preserved.
Disconnecting one account does not remove Xero access for the other accounts.
Each account can reconnect independently at any time using the standard connection flow.
π’ How many accounts can connect to one Xero organisation?
There is no hard limit within Auxo Workshop on the number of accounts that can connect to a single Xero organisation. The main consideration is Xero's tracking category system. Xero supports up to two tracking categories per organisation, but each category can have many options. Using one option per workshop within the same tracking category scales to any number of workshops without hitting Xero's limit.
π Note: Xero's limit of two tracking categories applies to the number of categories, not the number of options within a category. A single category called "Location" with one option per workshop is a fully supported approach regardless of how many workshops you have.
