Attach, view, and manage images and PDF files on Jobs and Estimates

Auxo Workshop lets you attach images and PDF files to Jobs and Estimates, making it easier to document vehicle issues, repairs, parts fitted, supplier invoices, and more.


πŸ’‘ Why use Attachments?

  • Record evidence of issues on customer vehicles

  • Document repairs or work completed

  • Show parts fitted or supplied

  • Attach photos of supplier invoices or order confirmations

  • Store PDF documents such as brake test reports or outwork invoices


πŸ” Where to find the Attachments feature

The Attachments button appears in the top section of both the Edit Job and Edit Estimate screens, whether the top section is expanded or not.

  • If files are already attached, a small badge displays the total number of attachments.

  • Click the Attachments button to open the Attachments screen.


πŸ–ΌοΈ Using the Attachments screen

The Attachments screen is divided into two areas.

Preview area

  • Shows a large preview of the selected attachment.

  • For images, the preview displays the photo with zoom controls.

  • For PDFs, a PDF icon is shown with a View link. Clicking View opens the PDF in a new browser tab.

  • Use the left/right arrows to browse through attachments.

  • Add notes related to the selected attachment in the notes field.

  • Click the rubbish-bin icon (πŸ—‘οΈ) to delete the selected attachment.

Thumbnail strip

  • Displays all attached files as thumbnails.

  • Images appear as photo thumbnails.

  • PDFs appear as a PDF icon with the filename.

  • Click any thumbnail to preview it in the preview area.

  • Click the Add button to upload a new file.

  • You can also drag and drop a file directly into the preview area to upload.

πŸ“ Note: If no files are attached yet, the upload area will prompt you to click or drag and drop a file to upload.


πŸ“ Supported file types and size limits

The following file types are accepted:

  • JPEG / JPG images: up to 5 MB per file

  • PNG images: up to 5 MB per file

  • PDF documents: up to 10 MB per file

A maximum of 10 attachments can be added to a single Job or Estimate (images and PDFs combined).

πŸ“ Note: If you attempt to upload a file that is not a supported type, or a PDF that is password-protected or encrypted, you will see an error message explaining why the file was rejected.


πŸ”„ Switching between Job and Estimate attachments

At the top left of the Attachments screen, you will see Job and Estimate tabs, each showing the number of attached files.

  • If you're viewing an Estimate:

    • The Estimate tab shows files attached to the current estimate.

    • The Job tab shows files from any Jobs for the same vehicle in the last month.

  • If you're viewing a Job:

    • The Job tab shows files attached to the current job.

    • The Estimate tab shows files from the estimate this job was converted from.

Click either tab to switch between the sets of attachments.


πŸ“§ Including attachments when sending emails

When sending an email from a Job (such as a Pro Forma Invoice or final Invoice):

  • Click the Attach Files link in the Send Email screen.

  • A selection screen opens showing all files attached to the job, including both images and PDFs.

  • Select the files you want to include with the email.

  • You can also click the Upload Attachments button to upload additional files at this point.

πŸ“ Note: Files uploaded directly in the Send Email screen are not saved back to the Job or Estimate as attachments.


πŸ—‚οΈ Viewing attachments in Customer Communication History

In the Edit Customer screen:

  • Open the Communication History section.

  • Expand any transaction to view its details.

  • If attachments were included in the communication, icons for each file are shown.

  • Click an icon to open or view the attachment.
