๐งฉ What Is Vehicle Driver Assignment?
Auxo Workshop lets you assign one of a customer's contacts as the driver of a specific vehicle. Once assigned, that contact receives vehicle reminders for that vehicle only, rather than reminders for all vehicles owned by the customer.
This is particularly useful for fleet customers where different people drive different vehicles. Rather than sending every reminder to a central contact, you can make sure each driver only receives reminders relevant to the vehicle they drive.
Before you can assign a driver to a vehicle, the person needs to be set up as an additional contact on the customer record that owns the vehicle. See Additional Contacts in Auxo Workshop for instructions on adding contacts.
โ Assigning a Driver
Open the vehicle you want to assign a driver to by going to Contacts > Vehicles and clicking the vehicle, or by opening the vehicle from the customer's record. This opens the Edit Vehicle screen.
Scroll down to the Vehicle Driver section.
Click + Add Driver to open the Assign Driver panel. This shows all contacts linked to the vehicle's owner customer, regardless of their role.
If the person you need isn't listed, click Click here to manage additional contacts for this vehicle owner to open the customer's record and add them first.
Select the contact you want to assign as the driver. A blue outline and tick appears on their card to confirm your selection.
Click Save. A confirmation message appears: "Driver assigned to vehicle successfully."
๐ Adding a Driver When Creating a New Vehicle
You can also assign a driver as part of adding a new vehicle. After entering the vehicle's registration, make, and model and clicking Next, you land on the Edit Vehicle screen where the Vehicle Driver section is available straight away.
โ๏ธ Managing the Assigned Driver
Once a driver is assigned, their name, role, contact number, and email address appear in the Vehicle Driver section.
Click the ... icon to access the following options:
Edit Driver Details โ opens the contact's details so you can update their role, preferred contact method, notification topics, or notes on the customer record
Change Driver โ opens the Assign Driver panel again so you can select a different contact
Remove Driver โ removes the driver assignment from this vehicle. A confirmation message appears: "Driver removed successfully."
Each vehicle can only have one driver assigned at a time. Assigning a new driver via Change Driver replaces the existing one. A contact can be the driver of more than one vehicle.
๐จ How Driver Assignment Affects Reminders
Assigning a driver to a vehicle changes which reminders that contact receives, based on their Vehicle Reminders notification topic setting on the customer record:
Once assigned as the driver of a specific vehicle, that contact only receives reminders for that vehicle
A contact with Vehicle Reminders turned on who has not been assigned to any vehicle continues to receive reminders for all vehicles owned by that customer
If the assigned driver has Vehicle Reminders turned on in their notification topics, they are automatically included in the recipient list alongside the primary customer contact when a reminder is sent for that vehicle. You can review and adjust the recipient list before sending.
๐ Note: If a driver is removed from a customer record entirely, their vehicle driver assignment is also removed automatically.
