Control the wording, the details and the branding on the loan car agreement your customers sign.
The loan car agreement is the form you print and have a customer sign before they drive away. Auxo Workshop supplies a standard set of loan conditions, and you can rewrite them to match your own terms, choose which details print on the form, and add your logo or letterhead. You set this up once and every agreement you print from then on uses it.
📍 Finding the Agreement Settings
Go to Settings > Loan Cars.
Click the Agreement tab.
The screen splits in two. Settings sit on the left across three tabs, and a live preview of the agreement sits on the right. Anything you change updates in the preview straight away.
Agreement settings are available to the Workshop Owner and Workshop Admin roles.
🖼️ Layout: Logo and Letterhead
The Layout tab controls the images on the form.
Show Logo puts your workshop logo at the top right of the agreement.
Show Header puts a full-width banner across the top.
Show Footer puts a full-width banner across the bottom.
To add an image, click Upload Image in the relevant section and choose a JPG or PNG under 2MB. Header and footer images look best at 1200 x 100 pixels. Each toggle becomes available once an image has been uploaded for it.
🧾 Data: Choosing Which Details Print
The Data tab controls which details appear on the agreement and where they sit. Each detail has a toggle to show or hide it, and most have alignment options for Left, Right or Top. Drag a row by its handle to change the order details appear in.

📝 Note: Show Contact Name cannot be turned off, since the agreement needs to name the person taking the car.
Show Driver Licence prints a blank line for the customer's licence number. Auxo Workshop does not store licence numbers, so write it in by hand at handover.
Show Readings controls the Mileage Out and Mileage In lines. These also print as blank lines for you to fill in by hand at handover and again on return.
✍️ Text: Your Terms and Conditions
⛔ Critical Information: The conditions supplied with Auxo Workshop are a starting point only and are not legal advice. We strongly recommend you review them and rewrite them to suit your business before you use the agreement with customers. It is your responsibility to make sure the terms your customers sign give you the legal and insurance cover you need, including who carries the risk for damage, excess, infringements and third-party claims. If you are unsure, have your conditions reviewed by your own solicitor or insurer.
The Text tab holds the conditions of use that print in the body of the agreement. Auxo Workshop supplies a standard set covering conditions of use, vehicle condition, and insurance and liability.
Edit them in the same way as any other text box. The editor gives you bold, italic and underline, heading levels, and bulleted and numbered lists, so you can lay your terms out clearly.
Click Save to apply your changes.
Click Cancel to discard them.
⚠️ Important: The conditions can hold up to 8000 characters. Paste in a long set of terms from another document and you may go over the limit, which stops the agreement saving. If your terms are long, trim them to the essentials rather than pasting a full legal document.
👁️ Checking and Printing the Form
The preview on the right shows the agreement as it prints, filled with sample details so you can see the layout. Click the printer icon above the preview to print a copy of it.
The agreement customers actually sign is printed from the job itself, once a loan car is allocated. See Managing Loan Cars for how to do that.
↩️ Starting Again
Click Reset to Default to put the layout, the details and the wording back to the standard Auxo Workshop agreement. Click Save to keep the reset.
