The Workboard

To view all your Work in Progress jobs organised by Job Status

Introduction

The Workboard is one of our standout features and is widely used by our customers. It's part of the Job Management section where you can view and track your work in progress organised by status, so you can see an overview of how jobs are progressing through the workshop. Structured in a logical workflow, the Workboard replaces what many workshops would previously do on a job board or whiteboard. It's excellent for organising work, seeing where everything is, and identifying holdups, making it an invaluable tool for managing your workshop efficiently.

πŸ” Search, Filter and Saved Filters

The header bar at the top of the Workboard provides tools to search and filter jobs so you can focus on what matters most.

Search

The search bar lets you quickly locate jobs on the Workboard by typing a full or partial match against:

  • Job number

  • Customer name (including business name)

  • Vehicle registration or description

The search is not case-sensitive. It does not search job notes, technician names, or service details.

Filters

The Tags filter lets you narrow the Workboard to show or hide jobs based on the tags applied to them. Select the dropdown arrow beside Tags to open the Tags panel.

  • Search Tags: Use the search field to find a specific tag quickly, or scroll through the list.

  • Select tags: Select one or more tags to apply to the filter.

  • Choose a filter mode: Use the dropdown at the top of the Tags panel to select how selected tags are applied:

    • Include Tags: Shows only jobs that have at least one of the selected tags applied.

    • Exclude Tags: Hides any jobs that have at least one of the selected tags applied, and shows everything else.

For example, selecting Exclude Tags and choosing "Waiting for Parts" will hide all jobs currently waiting on parts, giving you a clear view of what is actively progressing through the workshop.

πŸ’‘ Tip: The filter operates in a single mode at a time. You cannot include some tags and exclude others in the same filter simultaneously.

Saved Filters

Saved Filters let you store a Tags filter configuration so you can reapply it quickly without setting it up each time. Once you have configured a Tags filter, select Save to name and save it. Select a saved filter from the Saved Filters dropdown to apply it instantly.


Columns and Statuses

Jobs on the Workboard are organised by status into separate columns. In the column heading, directly beside the name of each column, you will see a number in brackets, this represents the number of jobs in the column.

The columns (in left to right order) are:

  • Booked: The initial status applied to new bookings.

  • Arrived: Jobs should be changed to this status when the vehicle has been dropped off by the vehicle owner.

  • In Progress: Jobs should be changed to this status when the technician starts the job.

  • Completed: Move jobs to this status when the work is complete.

  • Invoiced: When you generate the invoice for a job, its status is updated to 'invoiced'. An invoiced job can only be moved to the status of Collected, it cannot be moved backward to prior statuses.

  • Collected: This is the final stage of a job. You move the job to this status when the customer has collected the vehicle.


Job Tile Details

Each job is displayed on a 'tile' that can be dragged and dropped to update its status. Here are some key features of the interface:

  • Job Tile Details: Each job tile includes:

    • πŸ”‘The key icon (if there is a booking time and/or pickup time). Mouseover to display the booking/pickup time).

    • An icon on the top right showing the initials of the technician allocated to the job (or a + staff icon if no technician is assigned). You can reassign the tech by clicking on this icon.

    • The job number at the top of each tile. Clicking the job number will open the job maintenance screen.

    • Any tags the job is tagged with (such as 'waiting parts' or 'waiting approval').

    • The customer name.

    • The vehicle details.

    • The service(s) within the job.


πŸ”§ Bulk actions on the Workboard

When working on the Workboard, you can perform actions on one or more jobs at the same time using bulk actions.

Selecting jobs

  • Select one or more jobs using the checkbox on each job tile.

  • When jobs are selected, a bulk action bar appears at the bottom of the screen:

  • Select one or more jobs.

  • Select Add Tag.

  • Choose one or more tags to apply to all selected jobs.

Tags can be used to quickly organise work (for example, Waiting for Parts, Urgent, or Payment Due).


The available tags depend on what has been set up in your workshop.

βœ‰οΈ Send Email

  • Select one or more jobs.

  • Select Send Email.

  • Review the recipients and select Next.

  • Choose an email template, review the message, then send.

πŸ’¬ Send SMS

  • Select one or more jobs.

  • Select Send SMS.

  • Review recipients and select Next.

  • Choose an SMS template, review the message, then send.

The SMS workflow mirrors bulk email, using SMS templates instead.

πŸ–¨οΈ Print Job Card

  • Select one or more jobs.

  • Select Print Job Card.

  • A job card is generated for each selected job.

Updating Statuses Manually

You can update job statuses manually in two ways:

  • Dragging and Dropping: Jobs can be updated by dragging and dropping them from one status column to the next.

  • Dropdown Option: Open a job and click the dropdown option in the top left corner of the screen beside the job number. You can select between Booked, Arrived, In Progress, and Completed. Note that you can't change to Invoiced manually; this status is only applied when you generate the invoice. Only invoiced jobs can be changed to the Collected status, either by dragging and dropping in the Workboard or by opening the job and changing the status dropdown in the top left corner.


Mobile App Integration

When technicians use the Auxo Workshop Mobile App, job status updates automatically based on their actions:

  • Clocking on to a job sets the status to In Progress.

  • When pausing/clocking off, selecting Job Completed changes the status to Completed.

  • Other clock-off options like Waiting For Parts or Approval Required apply tags to the job.


Cancellation

When you cancel a booking, the job is removed from the Workboard and its status is set to Cancelled in the Job List.
