ou can record staff leave, breaks, or internal tasks in Auxo Workshop to ensure accurate availability for job bookings. These entries are reflected in the calendar views and are also factored into the online booking system, helping prevent overbooking and ensuring realistic workshop capacity.
Leave is also displayed on the Daily Notes shown in the Weekly and Daily Calendar views.
✅ Why Add Leave or Breaks?
Use this feature to block out time when a technician is unavailable for customer jobs, such as:
Sick leave or annual leave
Lunch breaks or daily rest periods
Internal meetings or training
Any non-customer-facing tasks
📅 How to Add Leave in the Calendar
To add leave or unavailability:
Go to the Calendar from the left-hand menu.
Select Daily View.
Right-click on a time slot under the technician’s name where the leave should begin.
This sets the default start time for the leave.
This opens the Enter New Leave form:
📝 Fill Out the Leave Form
Reason: Enter a reason like “Sick”, “Lunch Break”, or “Internal Task”.
All Day: Toggle this on if the leave spans the entire day.
When enabled, the start and end time fields are hidden.
Start Date & Time: Set when the leave begins.
End Date & Time: Set when the leave ends.
🔁 Setting Up Recurring Leave
If the leave happens regularly (e.g. lunch every weekday), you can make it repeat:
Click the Don't Repeat button next to the start date.
Choose a recurrence pattern:
Daily
Weekly
Fortnightly
For weekly or fortnightly, select the specific weekdays (e.g. M T W T F for weekdays).
Set an End Date for the recurrence.
For ongoing events like lunch breaks, choose an end date far in the future.
🥪 Example: Recurring Lunch Break
To add a recurring lunch break for a technician:
Reason: “Lunch”
Start Time: 12:00 PM
End Time: 1:00 PM
Repeat: Weekly
Days: Monday to Friday
End Date: Set far in the future (e.g. 5 years ahead)
💡 Tips:
🛠️ Use recurring leave to block out regular breaks like lunch or morning tea.
📆 Plan ahead by entering known leave periods early to avoid booking conflicts.
👥 Use clear reasons so other staff know why someone is unavailable.
🔄 Recurring entries save time and keep your calendar consistent.
