SmartCheck Pro: Using the Inspection List

Search, filter, and manage all inspections in one place

βœ… What is the Inspection List?

The Inspection List is your central hub for managing all inspections, both completed and in progress. From here, you can:

  • View inspection history for any vehicle

  • Check the status and result of any inspection

  • Filter inspections by status, result, recheck eligibility, or inspector

  • Search by registration, contact name, inspection ID, or reference

  • Start a new inspection


πŸ” Accessing the Inspection List

  • Go to Dashboard and select Inspections

The list displays the following columns for each inspection:

  • Inspection β€” the inspection ID, displayed as a clickable link to open the inspection

  • Registration β€” the vehicle registration

  • Contact Name β€” the name of the customer associated with the inspection

  • Reference β€” a job number or other reference associated with the inspection. Particularly useful where a vehicle has no registration plate, such as a new car with a stock number

  • Inspector No. β€” the inspector number of the staff member who completed the inspection

  • Result β€” the inspection outcome, shown as a pass or fail icon

  • Status β€” the current status of the inspection (see below)

  • Inspection Date β€” the date the inspection was carried out


🚦 Inspection Statuses

Each inspection in the list displays a status indicating where it is in the inspection workflow:

  • Booked β€” the inspection has been scheduled but not yet started. Displays in gold.

  • In Progress β€” the inspection is currently being carried out. Displays in orange.

  • Awaiting Details β€” the inspection has been passed but the WOF Approval Details (NZTA Authorisation No., WOF Expiry Date, and WOF Label) have not yet been entered. Displays in blue.

  • Completed β€” the inspection has been passed and all WOF Approval Details have been entered. Displays in green.

  • Recheck β€” the inspection failed and is still within the eligible recheck window. Displays in yellow-orange.

  • Cancelled β€” the inspection was cancelled. Displays in light grey.

  • Not Submitted β€” the inspection has been completed but not yet submitted to NZTA via the VIC integration. Displays in red.

  • Submitted β€” the inspection has been submitted to NZTA via the VIC integration. Displays in green.

πŸ“ Note: Not Submitted and Submitted statuses apply only when the VIC integration is active. This integration is not yet available.


πŸ” Searching and Filtering

Search

The search bar lets you find inspections by:

  • Registration

  • Contact Name

  • Inspection ID

  • Reference

Filters

Status β€” filter inspections by their current status. Options include: Booked, In Progress, Completed, Not Submitted, and Submitted.

Result β€” filter by inspection outcome:

  • Passed β€” inspections where the vehicle passed

  • Failed β€” inspections where the vehicle failed

Rechecks β€” filter by recheck eligibility:

  • Eligible β€” inspections that failed and are still within the 21-day recheck window

πŸ’‘ Tip: Clicking Rechecks from the dashboard applies this filter automatically.

Inspector No. β€” filter inspections by the inspector who carried them out. Only inspectors with an inspector number assigned appear as options. This filter is particularly useful when preparing for NZTA audits.


βœ… Sorting and Viewing More Inspections

  • Sort the list by Inspection ID or Inspection Date using the column headers

  • Use the Show more per page option to display up to 50 inspections at once

  • Use the arrows at the bottom to move between pages

βœ… Viewing and Managing Inspections

  • Click any inspection in the list to open its details

  • From here, you can review the check sheet, print or email results, and start a recheck if the inspection failed and is still eligible
