Auxo Workshop requires each registration number to be unique. If a customer has had a plate transferred to their vehicle in real life, but that registration is already recorded against a different vehicle in the system, you cannot apply it directly. The way to handle this is to first free up the registration by updating it on the vehicle currently holding it, then apply it to the correct vehicle.
This is a common scenario when a customer purchases a personalised plate and transfers it to a vehicle already in your system.

🔍 Step 1: Find the vehicle currently holding the registration
Navigate to Contacts > Vehicles in the side menu.
Search for the registration number you need to reassign (e.g. CUSTM1).
This will show you the vehicle it is currently recorded against.
✏️ Step 2: Update the registration on that vehicle
Click the vehicle to open its record.
In the Vehicle Details panel, click the ... button and select Edit Vehicle Details.
Update the Registration field to reflect the vehicle's actual current plate.
Click Save.
💡 Tip: If you are not sure what the vehicle's current registration is, enter a temporary placeholder (e.g. ZZZ987) to free up the original. You can update it to the correct value later once confirmed.
🚗 Step 3: Apply the registration to the correct vehicle
Return to Contacts > Vehicles and locate the vehicle you want to assign the registration to. Search by customer name, make, model, or its existing registration.
Click the vehicle to open its record.
In the Vehicle Details panel, click the ... button and select Edit Vehicle Details.
Update the Registration field to the desired registration (e.g. CUSTM1).
Click Save.
The registration is now correctly assigned to the right vehicle.
📝 Note: When a registration is updated on a vehicle record, all jobs, invoices, and service history linked to that vehicle will display the new registration. There is no way to look up historical records using a registration the vehicle held in the past. If your team needs to know what plate a vehicle previously had, make a note of it before making the change.
