Vehicle Data Check

Enter a vehicle rego or VIN to search and update vehicle details

What are Vehicle Data Checks

The Vehicle Data Check feature in Auxo Workshop allows you to enhance the accuracy and completeness of your customer vehicle details. By entering the vehicle's registration number or VIN and using the Vehicle Data Check button, you can automatically update various fields such as make, model, colour, year, VIN, chassis number, and fuel type, etc.

Accurate vehicle data helps with:

  • Identifying the vehicle

  • Creating accurate job cards

  • Ordering the correct parts

  • Maintaining a tidy and accurate vehicle database

How to Use the Vehicle Data Check Feature

You can perform a vehicle data check on any screen where you typically add a new vehicle, such as:

  • The Vehicle selection screen when adding a vehicle to a new or existing booking

  • The Add New Vehicle screen (going to Contacts > Vehicles > New Vehicle or when adding a new vehicle to an existing customer)

In these scenarios, you will see the Vehicle Data Check icon beside the Registration field.

Steps to Perform a Vehicle Data Check:

  • Type in the vehicle's registration number. If you don't have a registration number, type in the vehicle's VIN instead.

  • Click the Vehicle Data Check button

    • If you are in Australia, you may need to change the State of the registration plate before clicking the Vehicle Data Check button:

    • The State selected by default is based on the State set up in: Settings > System Configuration > Workshop Details

  • All vehicle detail fields will be updated automatically.

💡 Tip: When you hover the mouse cursor over the Vehicle Data Check button, a small message will display showing how many vehicle data checks you have remaining.

Checking a Vehicle by VIN

  • Type the VIN into the Registration field, then click Vehicle Data Check. This is handy when you don't have a registration number, such as for an unregistered vehicle.

  • Details only come back if our vehicle data provider(s) have a record for that VIN. Some unregistered vehicles will return details and others won't, even when the VIN is correct.

  • A check that finds nothing doesn't use up one of your vehicle data checks.

  • The VIN you typed stays in the Registration field and is saved as the vehicle's registration. Replace it with the real registration number once the vehicle has one, so it's easy to find later.

How to Top Up or Buy More Vehicle Data Checks

All Auxo Workshop systems come with a pre-allocated allowance of Vehicle Data Checks. If your current package count is used up, you can purchase additional bundles.

Steps to Purchase Additional Vehicle Data Checks:

  • Click Add-ons on the Side Menu to open the Add-ons page

  • Click Purchase on the Vehicle Data Check tile

  • A screen will display the available packages (e.g., 20 Vehicle Data Checks) and will display current pricing for each package

    • If you simply want to see the pricing, you can click Cancel at this step

  • Select the package you wish to purchase.

📝 Note: You can only pay for this top-up with Capricorn if your Auxo Workshop subscription is also billed through your Capricorn Trade Account. If it is, you'll be asked to choose card or Capricorn before the checkout step. If your subscription is billed by card, you'll go straight to the card checkout, there's no option to pay this top-up with Capricorn.

  • Complete your transaction in the Checkout.

You can also see how many checks remaining in your current package, and View History of prior checks on this page.

⚠️ Important Note: If you do not have a credit card on file, you will need to add one to complete the transaction and vehicle data checks cannot be topped up in a trial system. Subscribing removes this limit.

📝 Note: This article covers the Vehicle Data Check in Auxo Workshop. It's separate from the VIC lookup in SmartCheck Pro, which retrieves vehicle details from NZTA's VIC platform when you start an inspection, and the two return different details. See SmartCheck Pro: How to Start an Inspection for the VIC lookup.
