✨ Why This Matters
The Parts List is a powerful tool for managing inventory and extracting insights. Understanding what each column represents helps you organise stock, streamline workflows, and make the most of exports for reporting.
🖥️ Viewing Columns
To customise your Parts List view, click Columns (top-right of the list). A dropdown will appear with tick boxes for available fields:
Tick a box to show a column.
Untick a box to hide it.
Some columns are greyed out, indicating they are fixed and cannot be removed (e.g. Part No/Code).
📑 Column Reference Table
Column | Description |
Part No / Code | Unique identifier for the part. Used for quick search, stock tracking, and linking to jobs or purchase orders. |
Description | The part’s name or description. Appears on invoices and job lines. |
Supplier | The supplier associated with the part. |
Category | Logical grouping for parts (e.g., Tyres, Filters). Useful for organising and filtering. See Parts Categories |
Qty on Hand | Current stock quantity available in your inventory. Updates automatically as jobs and stock orders are processed. |
Retail Price | The default selling price for the part. |
Status | Indicates whether the part is Active or Inactive. Inactive parts cannot be added to new jobs but remain in history. |
Average Cost | The calculated average purchase cost based on stock transactions. |
Last Cost | The most recent purchase cost for the part. |
Bin Location | Physical storage location in your workshop (e.g., shelf or bin number). |
Quantity on Job | Total quantity of this part currently allocated to open jobs. |
Quantity on Order | Quantity of this part included in pending purchase orders. |
Type | Indicates whether the part is Stocked or Non-stocked. |
Brand | Manufacturer or brand name of the part. |
Barcode | Unique barcode for the product, particularly useful for scanning in parts using the mobile app. |
Supplier Code | The supplier’s code for the part. |
🔍 Using Filters on the Parts List
The Parts List includes a set of filters that let you narrow down parts based on common attributes such as category, supplier, pricing, and quantity on hand.
Filters applied on the Parts List affect:
What parts are shown on screen
What parts are included when exporting the list
What parts are included when performing actions such as creating a Stocktake
Applied filters appear as blue labels beneath the filter bar.
Remove a filter: Click the × icon on the relevant filter label
Remove all filters: Select Clear All
📂 Category Filter
Filters parts by their assigned Parts Category:
You can select one or more categories
Only parts belonging to the selected categories are shown
🧩 Type Filter
Filters parts based on whether they are stocked:
Stock: Includes parts flagged as stocked
Non‑Stock: Includes parts flagged as non‑stocked
🏷 Supplier Filter
Filters parts by their assigned supplier:
Select one or more suppliers from the list
Useful when reviewing stock or pricing for a specific supplier
✅ Status Filter
Filters parts based on their current status:
Active: Shows active parts
Archived: Shows archived parts
💲 Cost Filter
Filters parts based on their cost value:
Specify a minimum and or maximum cost
Useful for identifying low‑value or high‑value stock
💰 Retail Price Filter
Filters parts based on their retail price:
Specify a minimum and or maximum retail price
Useful for pricing reviews and margin analysis
📦 Quantity on Hand Filter
Filters parts based on the quantity currently held in stock:
Specify a minimum and or maximum quantity
To exclude parts with zero quantity, set Min = 1
This filter is commonly used when preparing a Stocktake, as only parts shown in the Parts List are included in the stocktake snapshot.
💾 Saved Filters
As with many lists in Auxo Workshop, you can save a set of Parts List filters for quick reuse.
Select Save Filter after applying your filters
This opens the Save Filter screen where you can:
If a filter is marked as default, it will be automatically applied each time you open the Parts List.
Saved filters can be selected from the Saved Filters dropdown at any time:
💡 Tips for Reporting
Need a quick stock valuation or parts analysis? Export the Parts List with relevant columns (e.g., Qty on Hand, Average Cost, Retail Price) to create your own report in Excel or Google Sheets.
