✨ Why This Matters
The Parts List is a powerful tool for managing inventory and extracting insights. Understanding what each column represents helps you organise stock, streamline workflows, and make the most of exports for reporting.
🖥️ Viewing Columns
To customise your Parts List view, click Columns (top-right of the list). A dropdown will appear with tick boxes for available fields:
Tick a box to show a column.
Untick a box to hide it.
Some columns are greyed out, indicating they are fixed and cannot be removed (e.g. Part No/Code).
📑 Column Reference Table
Column | Description |
Part No / Code | Unique identifier for the part. Used for quick search, stock tracking, and linking to jobs or purchase orders. |
Description | The part’s name or description. Appears on invoices and job lines. |
Supplier | The supplier associated with the part. |
Category | Logical grouping for parts (e.g., Tyres, Filters). Useful for organising and filtering. See Parts Categories |
Qty on Hand | Current stock quantity available in your inventory. Updates automatically as jobs and stock orders are processed. |
Retail Price | The default selling price for the part. |
Status | Indicates whether the part is Active or Inactive. Inactive parts cannot be added to new jobs but remain in history. |
Average Cost | The calculated average purchase cost based on stock transactions. |
Last Cost | The most recent purchase cost for the part. |
Bin Location | Physical storage location in your workshop (e.g., shelf or bin number). |
Quantity on Job | Total quantity of this part currently allocated to open jobs. |
Quantity on Order | Quantity of this part included in pending purchase orders. |
Type | Indicates whether the part is Stocked or Non-stocked. |
Brand | Manufacturer or brand name of the part. |
Barcode | Unique barcode for the product, particularly useful for scanning in parts using the mobile app. |
Supplier Code | The supplier’s code for the part. |
💡 Tips for Reporting
Need a quick stock valuation or parts analysis? Export the Parts List with relevant columns (e.g., Qty on Hand, Average Cost, Retail Price) to create your own report in Excel or Google Sheets.
