🧾 Work in Progress Valuation Report

View the value of open jobs that have not yet been invoiced, including labour, parts, and job‑ordered costs.

💡 What is Work in Progress (WIP)

Work in Progress, commonly abbreviated as WIP, represents the value of work that has been started but not yet invoiced.

In Auxo Workshop, WIP typically includes:

  • Labour recorded against open jobs

  • Parts issued to jobs but not yet invoiced

  • Job‑ordered purchase costs received but not yet invoiced

This report shows the total cost value of open jobs as at a selected date and is commonly used for accounting review and reconciliation.

In this article, Work in Progress and WIP refer to the same concept. The abbreviated term WIP may be used throughout the report and filters.


📍 How to access the report

  • Open Reports from the side menu

  • Locate Work in Progress Valuation in the list of available reports

  • Click the report name to open it


🧭 Understanding the report layout

The Work in Progress Valuation report is presented as a dynamic list.

The screen includes:

  • A search bar for narrowing results by job or customer

  • Filters for controlling the reporting date and vehicle attributes

  • A results table showing cost breakdowns per job

  • A grand total row summarising total WIP value

  • Export options for PDF and CSV

  • Column visibility controls

📝Important Note - Invoiced Jobs Excluded: Any jobs that have been invoiced will no longer be included in the Work in Progress Report, even if changing the As At Date to a prior date, it will not include jobs that have been invoiced.


🔎 Search and filters

The Work In Progress Valuation Report includes several filters to help you narrow down the results. Any filters you apply are shown as blue labels beneath the search field.

To remove a filter, click the × icon on the relevant blue filter label. You can also remove all filters at once using Clear All:


📅 As of Date Filter

The As of Date filter controls the date the WIP position is calculated for.

Available options:

  • Today: Shows WIP based on the current system date

  • Custom: Allows selection of a specific historical date

The Custom option is commonly used for month‑end or period‑end reporting, as it recalculates Work In Progress based on the job and part status as at that date.

📝Notes regarding As of Date: As of dates cannot be set earlier than February 2026, as this is when the required data foundation for these reports was established.

🚗 Vehicles Filter

The Vehicles filter allows Work in Progress (WIP) to be analysed based on vehicle details associated with jobs in progress.

This filter combines multiple controls that work together:

  • Year: Limits jobs to vehicles with a selected manufacture year

  • Make: Limits jobs to vehicles from one or more selected manufacturers

  • Model: Limits jobs to vehicles matching the selected model or models

Multiple makes can be selected at the same time.

When more than one make is selected, the model list updates to include models from all selected makes.

Vehicle filters are optional and are typically used for analytical purposes, such as reviewing WIP for specific vehicle types or ranges.

🧩 Type Filter (Parts column only)

The Type filter matches the Type filter used in the Parts List and only affects the Parts column of the report. No other columns in the Work In Progress Valuation Report are impacted.

  • Stock: Displays stocked parts only.

  • Non‑Stock: Displays non‑stocked parts from the Parts List only. This does not include parts manually entered directly onto a job, as those parts do not have Parts History transactions or dates.

  • No Type filter applied: Displays both Stocked and Non‑Stocked parts in the Parts column.

💡 Tip for Xero users: If you use Xero, select the Stock Type filter when reconciling Work In Progress related to stocked inventory. The Parts value from this view is used alongside the Stock Valuation Report as part of the process described in Reconciling Stock and Work in Progress (WIP) with Xero.


📊 Report columns explained

Each row in the report represents an individual job that is still in progress.

Common columns include:

  • Job No.: The Auxo Workshop job number

  • Booking Date: The date the job was created or booked

  • Customer Name: The customer associated with the job

  • Registration: The vehicle registration number

  • Vehicle Description: The year, make, and model of the vehicle

  • Labour: Total labour cost recorded on the job

  • Parts: Total cost of parts issued to the job

  • Orders Cost: Cost of job‑ordered parts received

  • Outwork: External or subcontracted work costs

  • Total Cost: Combined total of all WIP cost components

The Grand Total row at the bottom shows the total Work in Progress value for all listed jobs based on the current filters.


📤 Exporting the report

The report can be exported using the buttons in the top‑right corner:

  • Export to PDF: Suitable for review or sharing

  • Export to CSV: Suitable for further analysis

Exports respect the selected filters and as of date.


✅ Things to keep in mind

  • This report shows cost values only, not sales or margins

  • Only open, (not invoiced) jobs are included

  • Values change as labour is added, parts are issued, or jobs are invoiced

  • The selected as of date significantly affects totals

  • Vehicle filters are optional and purely analytical

This report is commonly used alongside other inventory and accounting reports when reviewing Work in Progress balances.
