Workboard – Job Count by Status

Each column header on the Workboard (representing a job status) now displays the number of jobs in that status in brackets. Quickly see how many jobs are Complete, Invoiced, and more at a glance.

Credit Status on Customer Details

When creating a Job or Estimate, the customer information card now shows the customer’s Terms of Payment. This also appears on the Maintain Job and Maintain Estimate screens, giving you better visibility before you start work.

Generate Invoice – No More Forced Print Screen

Previously, after generating an invoice, the ‘Print Invoice’ screen would pop up automatically. We’ve removed this step based on your feedback—emailing invoices is far more common, and this change eliminates unnecessary clicks.

Online Bookings – More Services!

You can now add up to 15 services on your Online Bookings page (up from 6). More flexibility for your customers, more control for you.

Daily View & Job Card Updates

We’ve improved how Estimated Hours sync across your job and diary:

  • Editing Estimated Hours on a specific service (within the job) updates the Estimates Hours for the overall job (in the header) and the Daily Diary.

  • Editing the Estimated Hours in the job header directly will update the Daily Diary but does not change Estimated Hours within individual services.

  • Dragging a booking in the Daily Diary to extend its duration won’t affect Estimated Hours in the job or services.

🧰 Best practice: Update Estimated Hours within individual services for full accuracy reflected in all areas and screens (service, job & diary!).

Attach Photos to Jobs and Estimates

Available on the Auxo Workshop Pro plan and above, this new feature lets you attach images to Jobs and Estimates to document vehicle issues, repairs, and parts. These images can also be included when emailing customers, helping you deliver clearer, more professional communication.

Use Cases:

  • Image Preview & Notes: The Photos screen includes a large image previewer with easy left/right navigation. You can add notes to each image, delete unwanted ones, and drag-and-drop new photos directly into the preview area.

  • Emailing Photos: When sending an Estimate or Invoice, you can include attached images directly from the Job. This helps customers see what needs attention or what’s been completed—no extra steps required.

  • Internal Documentation Support: You can also attach photos of internal documents—such as supplier orders, brake test reports, or outwork invoices—to keep your workshop records complete and organised. These images stay on the Job and aren’t included in customer emails unless selected.

  • View Photos in Communication History: Photos sent via email are also visible in the Edit Customer screen under Communication History, making it easy to track what was shared and when.

This is the first phase of releasing Photos feature, soon it will be added to the Mobile app and we have plans to allow PDF documents and manage your storage in the future.

✨ Improved Flexibility for Transaction Dates

We’ve introduced several improvements to how transaction dates are managed in Auxo Workshop, giving you greater control and helping ensure better alignment with your preferred dates in Xero—especially for reconciliation and reporting purposes. Here’s what’s new:

  • Specify Invoice Dates when Generating an Invoice:

    • A new option has been added to the bottom of the Invoice Preview: “Generate the invoice for another date”.

    • also available when generating a Split Invoice.

  • We have added a field to specify a payment date when entering payments on Jobs & Invoices.

  • You can specify a Finalise Date field when finalising Purchase Orders.

    • Finalise Date will be shown on the Purchase Order List.

  • We’ve added a new Create Date column and filters in the Invoice List, representing the date the invoice was generated.

    • The existing Invoice Date column now reflects the accounting date of the invoice.

  • You can now specify the date when creating a Purchase Order.

  • You can edit the date on customer Credit Notes (only available if there are no allocations to existing jobs/invoices).

  • Reports have been adjusted to display accounting date where relevant.

🧰 Archiving Parts

You can now archive parts in your Parts List to help tidy up your workspace. Archiving hides parts from selection when adding items to jobs — ideal for removing clutter from old imports or superseded parts.

⚠️ Important: Archived parts are not automatically removed from templates like Smart Templates or Fixed Services. This is to prevent accidental undercharging. If you archive a part that’s used in a template, make sure to update the template manually.

🔄 Xero Integration Improvements

We’ve made some behind-the-scenes improvements to how Auxo Workshop works with Xero to make your reconciliation process smoother and more accurate.

🧾 Invoice Adjustments from Xero

If you update an invoice in Xero - for example, by adding transaction fees or other line items, we now handle this more gracefully.

  • While we can’t import those extra line items directly into Auxo Workshop,

  • We’ll now add a ‘Xero Invoice Adjustment’ line to your Auxo Workshop invoice to help keep the totals aligned.

This helps ensure your invoice amounts match more closely between both systems.

💸 Payment Sync Enhancements

We’ve also improved how payments entered in Xero are processed:

  • Payments recorded in Xero now sync more reliably with Auxo Workshop.

  • Invoice statuses (like Paid or Partially Paid) are better aligned across both platforms.

These changes help reduce discrepancies and make it easier to stay on top of your finances.

📋 New Estimate / Booking Shortcut

You can now start an Estimate or Booking directly from the Edit Customer or Edit Vehicle screen.


Just click the dropdown on the New Booking button and select the option to begin with the customer or vehicle already preselected—saving you time and clicks!

🛠️ Fixed Services Update

The minimum value for Estimated Hours has been reduced from 30 minutes to 15 minutes.
This change makes it easier to accommodate smaller jobs—like Tyre Rotations—that typically take less time.

Highlights:

  • Add custom labels, disclaimers, and bank details

📬 Customer Contact Preferences

New options in the Edit Customer screen help you tailor communication:

Highlights:

  • Marketing Opt-Out toggle to exclude customers from campaigns

  • Preferred Contact Method selector: Phone, Email, SMS, Postal Mail, or Any

  • New filters and columns available in the customer list and reminders list

Pricing Matrix

The Pricing Matrix is designed to help you automate effective pricing strategies. Define tiers based on cost prices to apply specific mark-up or margin rates to each tier. Tailor the matrix to suit your business needs, whether you prefer a simple setup or a detailed structure.

Fixed Services

Set up your own standard services to quickly add predefined sets of Labour, Parts, Outwork and Job Text to new jobs and estimates. This feature is particularly useful if you advertise services on a pricing menu.

Reports Feature

  • Find & Use Reports in Auxo Workshop: Easily access various reports to analyse your workshop's performance. Navigate to the Reports List by clicking on "Reports" in the left Side Menu. The Reports List displays all available reports in a table format. You can search for specific entries, apply filters, and export reports to PDF or CSV. [Add link to KB article]

  • Workshop Sales Analysis Report: Provides a detailed breakdown of invoices and credit notes, including columns for Invoice Number, Invoice Date, Customer Name, Labour, Parts, Outwork, Discount, Total, and Margin %.

  • Payments Received Report: Lists all payments with details such as Invoice No., Job No., Payment Date, Customer Name, Staff, Method of Payment, and Total Amount.

Enhanced Email Functionality

  • Multiple Recipients: Add multiple recipients in the To, CC, and BCC fields when sending emails from Auxo Workshop.

Auxo Workshop Mobile App Improvements

We have made the following improvements to the Auxo Workshop Mobile App:

  • Changes to Clock On/Off

    • Clock-On/Off buttons changed to simpler Clock On / Pause buttons:

    • Clock-Off Reasons - When Pausing/Clocking Off you’re now asked to select why you are clocking off – with some new automations that occur depending on your selected reason:

      • Job In Progress – The default clock-off reason. This will keep the status of the Job as “In Progress” but pause the timer, you can click Clock at the bottom of the mobile app and see this paused job, and click the play/time icon to resume the timer.

      • Waiting For Parts – Selecting this option will apply a “Waiting for Parts” tag will to the job.

      • Approval Required – Selecting this option will apply an “Approval Required” tag to the job.

      • Job Completed – Selecting this option will change the status of the job to Completed.

  • Improved Job Search – A new search option has been added to the job list that will search the rego, vehicle details, customer name and job number fields. The search results will also include jobs assigned to other technicians.

  • Parts Search – When adding a part to a specific service within a job, you can now search for parts based on the part number.

  • Several minor bug fixes.

Estimates

Create and send estimates to your customers, and easily convert them into jobs. This feature simplifies quoting jobs by outlining the expected costs for services, parts, and labour.

Pro Forma Invoices

Send preliminary invoices before finalising a job. Pro Forma invoices provide an estimated cost for goods or services, even when some details, like timesheets or purchase orders, are still in the works.

Split Invoicing

Divide charges on a job into separate invoices for different customers. This feature is particularly useful for insurance jobs, allowing you to allocate postings to specific customers, apply discounts, and print or email pro forma invoices for each customer.

Edit Rego from Vehicle Screen

We have resolved an issue preventing users from editing the vehicle registration number on the Edit Vehicle Details screen.

Repco & Napa Integrations

The job number will now auto-populate into the reference field of the respective check-outs.

Labour Rates

  • Set up specific labour rates (labour charge-out rates) such as "Retail", "Trade" etc.

  • When adding Labour to a job, type into the code field to search for the appropriate labour rate to apply.

Job Service Template Display Improvement

  • Service Templates now sort by most recently used.

    • With or without filters/search: Results update dynamically with a “Sorted by Most Used” label for clarity.

Xero Integration Improvements

  • Xero account mapping:

    • Payments filtering now considers only accounts with payments enabled instead of filtering solely by asset type.

    • Work in Progress accounts are now correctly mapped as Assets, ensuring proper financial reporting.

    • Resolved issue preventing users from saving manually mapped GL codes in a new Xero configuration.

    • Custom Tax Rates can now be selected for tax mapping fields.

  • Fixed stocked part invoice error:

    • Users now receive a notification to update account mapping when 'Stock on Hand' is not yet defined.

  • Zero-value invoices handling:

    • Invoices with a zero subtotal (due to global or line-item discounts) will not sync to Xero.

    • Users will receive a warning notification explaining that Xero does not accept zero-value invoices.

    • If an invoice amount is increased above zero, re-syncing to Xero is allowed.

Inventory & parts

  • Non-Stock Item Handling: Parts added from a Job Purchase Order are automatically treated as non-stock items.

Vehicle data check purchase for Auxo Workshop customers in Australia

  • Australian Tenants can now purchase additional Vehicle Data Check packages, similar to NZ tenants.

Automated bill creation in Xero from finalised purchase orders in Auxo Workshop

What is a bill in Xero?

What's New?

We’ve enhanced the integration between Auxo Workshop and Xero to improve the purchasing workflow. Now, when a purchase order is finalised in Auxo Workshop, a corresponding bill will automatically be created in Xero.

Freight costs included – If freight charges are added to the purchase order, they will also be reflected in the Xero bill, ensuring accurate cost tracking.

Existing Feature Enhancements

Over the December/January holiday period, our development team focused on a number of usability and feature improvements. Here's a brief rundown of the new improvements:

  • Viewing Invoices - Job View & Invoice View: When viewing an invoiced job, you can now toggle between Invoice View (which appears like a printed invoice) or Job View which displays the job similar to when you're creating/editing a job:

  • Xero Integration - Synchronise Email Address: customer emails are not removed when in Auxo the customer has no email address.

  • Xero Integration - Stock Adjustments: Auxo Workshop allows the user to adjust stock and updates the Manual Journal in Xero

  • Xero Integration - Xero configuration screen: When updating mapping value e.g. Labour Sales, we implemented a confirmation step for the “Refresh Account” button.

  • General Navigation - Breadcrumbs: The top screen navigation, the so-called breadcrumbs (see screenshot below) is now clickable. You can now see where you are in relation to the application screen hierarchy, and you can move up the levels faster.

  • Purchase order flow improvement: Auxo Workshop will now check if either a part code or a description is given by the user.

  • Job Costs & Margin Visibility: If the job is not selected to show cost & margin we hide the cost column in the part search.

  • Calendar - Invoiced ribbon: We introduced the “Invoiced” ribbon in job cards in the calendar view to help the user see the invoiced jobs right away.

  • Simplified Online Booking Reference Number: We have improved the online booking reference numbers that are generated to be shorter and more memorable.

Quick Search Feature

We are excited to announce the new Quick Search feature, designed to help you find key information quickly without switching between screens. It integrates search functionalities across Customers, Vehicles, Jobs, and Invoices into a unified search bar, accessible from the top banner on every screen.

Search Categories: Results are displayed by category for easy navigation.

  • Customers: Search by Customer Name (First & Last), Company Name, Phone Number, or Email Address.

  • Vehicles: Find vehicles using Registration, Year, Make, Model, VIN, or Owner Name.

  • Invoices: Look up Invoices by Number, Customer Name.

  • Jobs: Search by Job Number, Customer Name, or Vehicle Registration.

Inventory: Parts & Purchase Orders

This release primarily focuses on delivering key Inventory Management features.

Here’s what’s new:

  1. Parts List

    • Allowing you to add both stock and non-stock parts.

  2. Purchase Orders

    • Create purchase orders for stock and non-stock parts from multiple locations: the parts catalogue, a job, or directly from purchase lists.

    • Track and manage purchase orders with visibility into status updates.

    • Edit purchase orders even after receiving parts, right up until finalisation.

    • Upon finalisation, purchase orders are automatically synced with Xero.

  3. Supplier Management

    • Manage supplier details with the ability to create and edit suppliers, import supplier data from Xero, and synchronize data between Xero and Auxo.

    • Set up automatic email delivery of purchase orders (PDF) for designated suppliers, complete with email communication logs in the supplier profile.

  4. Inventory Management

    • Automatic inventory updates based on user actions, including adjustments for quantities on hand, allocated to jobs, and on order.

  5. Pricing Management

    • View the last purchase price and calculate the average price for parts, making it easier to manage costs.

Repco Navigator Pro Integration

A smoother and more efficient way to manage parts with Repco directly from Auxo Workshop. Here’s what’s new:

  • Connect to Navigator Pro automatically: You only need to enter your Repco credentials once. Auxo Workshop will remember them for future use.

  • Simplified parts search: When adding parts to a job, you can view them on the same screen as the Repco catalogue. Easily copy and paste part descriptions or codes without switching windows.

  • Add parts from Repco to jobs: Directly add parts from your Repco shopping cart to your job for quick and easy order management.

  • Order parts: Send parts directly to Repco’s check-out from a job, streamlining your parts ordering process.

  • Template: Auxo Workshop now remembers the parts you’ve ordered from Repco and automatically adds them to your job templates when generating an invoice.

Vehicle Data Checks

We’ve made it easier to ensure the accuracy of vehicle data in Auxo Workshop by integrating with the NZTA database. Now, when creating or updating vehicle information, you can:

  • Run a Vehicle Data Check: Automatically populate vehicle details from the NZTA database to ensure you're working with the most accurate data.

  • Editable Pop-up: After performing a Data Check, you can review the information, decide to save it, edit manually, or discard it—all within a convenient pop-up.

  • Who Can Access: This feature is available to Workshop Owners, Workshop Admins, and Limited Access users.

Improvements to Online Bookings

We’ve improved online booking approvals to give you better control over customer data.

  • Multiple customers can now book services for the same vehicle without overwriting existing owner information.

  • You have full control over updating customer details, ensuring no changes are made without your consent.

  • Even when updating owner details, you can still see who requested the booking.

  • Notifications are sent to the person who made the booking, while service reminders (e.g., WoF) go to the vehicle's owner.

This helps maintain clean, accurate data and saves you time!
