Xero Integration Improvements

  • Xero account mapping:

    • Payments filtering now considers only accounts with payments enabled instead of filtering solely by asset type.

    • Work in Progress accounts are now correctly mapped as Assets, ensuring proper financial reporting.

    • Resolved issue preventing users from saving manually mapped GL codes in a new Xero configuration.

    • Custom Tax Rates can now be selected for tax mapping fields.

  • Fixed stocked part invoice error:

    • Users now receive a notification to update account mapping when 'Stock on Hand' is not yet defined.

  • Zero-value invoices handling:

    • Invoices with a zero subtotal (due to global or line-item discounts) will not sync to Xero.

    • Users will receive a warning notification explaining that Xero does not accept zero-value invoices.

    • If an invoice amount is increased above zero, re-syncing to Xero is allowed.

Inventory & parts

  • Non-Stock Item Handling: Parts added from a Job Purchase Order are automatically treated as non-stock items.

Vehicle data check purchase for Auxo Workshop customers in Australia

  • Australian Tenants can now purchase additional Vehicle Data Check packages, similar to NZ tenants.

Automated bill creation in Xero from finalised purchase orders in Auxo Workshop

What is a bill in Xero?

A bill in Xero represents a payable amount that a business owes to a supplier for goods or services received. It helps track outstanding payments, manage cash flow, and keep supplier transactions organized.

What's New?

We’ve enhanced the integration between Auxo Workshop and Xero to improve the purchasing workflow. Now, when a purchase order is finalised in Auxo Workshop, a corresponding bill will automatically be created in Xero.

Freight costs included – If freight charges are added to the purchase order, they will also be reflected in the Xero bill, ensuring accurate cost tracking.

Existing Feature Enhancements

Over the December/January holiday period, our development team focused on a number of usability and feature improvements. Here's a brief rundown of the new improvements:

  • Viewing Invoices - Job View & Invoice View: When viewing an invoiced job, you can now toggle between Invoice View (which appears like a printed invoice) or Job View which displays the job similar to when you're creating/editing a job:

  • Xero Integration - Synchronise Email Address: customer emails are not removed when in Auxo the customer has no email address.

  • Xero Integration - Stock Adjustments: Auxo Workshop allows the user to adjust stock and updates the Manual Journal in Xero

  • Xero Integration - Xero configuration screen: When updating mapping value e.g. Labour Sales, we implemented a confirmation step for the “Refresh Account” button.

  • General Navigation - Breadcrumbs: The top screen navigation, the so-called breadcrumbs (see screenshot below) is now clickable. You can now see where you are in relation to the application screen hierarchy, and you can move up the levels faster.

  • Purchase order flow improvement: Auxo Workshop will now check if either a part code or a description is given by the user.

  • Job Costs & Margin Visibility: If the job is not selected to show cost & margin we hide the cost column in the part search.

  • Calendar - Invoiced ribbon: We introduced the “Invoiced” ribbon in job cards in the calendar view to help the user see the invoiced jobs right away.

  • Simplified Online Booking Reference Number: We have improved the online booking reference numbers that are generated to be shorter and more memorable.

Quick Search Feature

We are excited to announce the new Quick Search feature, designed to help you find key information quickly without switching between screens. It integrates search functionalities across Customers, Vehicles, Jobs, and Invoices into a unified search bar, accessible from the top banner on every screen.

You will find it at the top of every screen:

Search Categories: Results are displayed by category for easy navigation.

  • Customers: Search by Customer Name (First & Last), Company Name, Phone Number, or Email Address.

  • Vehicles: Find vehicles using Registration, Year, Make, Model, VIN, or Owner Name.

  • Invoices: Look up Invoices by Number, Customer Name.

  • Jobs: Search by Job Number, Customer Name, or Vehicle Registration.

How to Use

  1. Enter your query in the Quick Search bar at the top of the screen.

  2. Review categorised results or refine your search using filters.

  3. Click a result to navigate directly to the relevant record.

Inventory: Parts & Purchase Orders

This release primarily focuses on delivering key Inventory Management features.

Here’s what’s new:

  1. Parts List

    • Allowing you to add both stock and non-stock parts.

  2. Purchase Orders

    • Create purchase orders for stock and non-stock parts from multiple locations: the parts catalogue, a job, or directly from purchase lists.

    • Track and manage purchase orders with visibility into status updates.

    • Edit purchase orders even after receiving parts, right up until finalisation.

    • Upon finalisation, purchase orders are automatically synced with Xero.

  3. Supplier Management

    • Manage supplier details with the ability to create and edit suppliers, import supplier data from Xero, and synchronize data between Xero and Auxo.

    • Set up automatic email delivery of purchase orders (PDF) for designated suppliers, complete with email communication logs in the supplier profile.

  4. Inventory Management

    • Automatic inventory updates based on user actions, including adjustments for quantities on hand, allocated to jobs, and on order.

  5. Pricing Management

    • View the last purchase price and calculate the average price for parts, making it easier to manage costs.

Repco Navigator Pro Integration

A smoother and more efficient way to manage parts with Repco directly from Auxo Workshop. Here’s what’s new:

  • Connect to Navigator Pro automatically: You only need to enter your Repco credentials once. Auxo Workshop will remember them for future use.

  • Simplified parts search: When adding parts to a job, you can view them on the same screen as the Repco catalogue. Easily copy and paste part descriptions or codes without switching windows.

  • Add parts from Repco to jobs: Directly add parts from your Repco shopping cart to your job for quick and easy order management.

  • Order parts: Send parts directly to Repco’s check-out from a job, streamlining your parts ordering process.

  • Template: Auxo Workshop now remembers the parts you’ve ordered from Repco and automatically adds them to your job templates when generating an invoice.

Vehicle Data Checks

We’ve made it easier to ensure the accuracy of vehicle data in Auxo Workshop by integrating with the NZTA database. Now, when creating or updating vehicle information, you can:

  • Run a Vehicle Data Check: Automatically populate vehicle details from the NZTA database to ensure you're working with the most accurate data.

  • Editable Pop-up: After performing a Data Check, you can review the information, decide to save it, edit manually, or discard it—all within a convenient pop-up.

  • Who Can Access: This feature is available to Workshop Owners, Workshop Admins, and Limited Access users.

Improvements to Online Bookings

We’ve improved online booking approvals to give you better control over customer data.

  • Multiple customers can now book services for the same vehicle without overwriting existing owner information.

  • You have full control over updating customer details, ensuring no changes are made without your consent.

  • Even when updating owner details, you can still see who requested the booking.

  • Notifications are sent to the person who made the booking, while service reminders (e.g., WoF) go to the vehicle's owner.

This helps maintain clean, accurate data and saves you time!
