How to set up and use the Napa PROLink integration in Auxo Workshop.

Integrate Your Napa PROLink Account with Auxo Workshop

Integrate your Napa PROLink account with Auxo Workshop to simplify and streamline your parts procurement process and improve the accuracy of parts pricing and margins.

Integration Features

  • Automatic Connection: Set up the connection once, and Auxo Workshop will remember your Napa PROLink details, allowing you to connect to the Napa catalogue directly from any job.

  • Simplified Part Search: Vehicle rego is copied from Auxo Workshop to Napa to filter parts to the appropriate make/model. You can also copy part descriptions or numbers from the job and paste them into the Napa catalogue without switching windows.

  • Efficient Part Addition: Add parts from Napa to a job in one streamlined flow.

  • Direct Ordering: Send parts directly to Napa’s checkout from a job and streamline your parts ordering process.

  • Improved Job Templates: Auxo Workshop remembers the parts you’ve ordered from Napa and automatically adds them to your job templates for use on future jobs.


Set Up the Napa PROLink Integration

Minimum Requirements: To set up the integration, you need a Napa PROLink account along with your account number, username, and password. If you don’t have these details, please contact Napa.

Steps to Set Up the Integration

  • Select Add-ons in the side menu.

  • Click Configuration on the Napa PROLink tile.

  • This will open the Napa PROLink Configuration screen, shown below:

🔒 Important Note - Add-On Setup Permissions: Only users with the Workshop Owner role can set up add-ons. Read more here: User Security - Roles & Permissions.

To complete this form, you will need the following details for your Napa PROLink account:

  • Account Number & Suffix

  • Site Code

  • Username

  • Password

  • Supplier

Fill in these details and click Save.

📝 Note: Due to the nature of the Napa PROLink integration, your credentials cannot be validated during setup; so please double-check them for accuracy. If there are issues, the integration may not work when you try to use it.


Ordering Parts with Napa PROLink

Napa ProLink can be used to order parts from within a job or to order parts for stock.

Using Napa PROLink from within a Job

From within an existing job, whether or not you have already added any parts to the job:

  • Click the More button (below services) and select Order Parts.

  • This will display the Order Parts listing.

Looking Up Parts Already on the Job

If you have existing parts on the order that were previously ordered using the Napa PROLink integration:

  • Click the Job Parts button to display parts already added to the job.

  • To load parts from this screen into Napa PROLink, they must have a Napa SKU saved from previous uses of this integration.

  • If parts are displayed that you wish to order but do not have a SKU saved:

    • Add them via Napa PROLink per the following steps.

    • Delete the original parts off the job (that did not have the SKU saved) to avoid duplication when you add them from Napa PROLink.

Look Up and Add Parts from Napa PROLink

To look up and add parts from Napa PROLink, click the Napa Logo button at the top of the Purchase List:

  • This will open the Napa PROLink site, and if an accurate rego had been entered on the job, Napa PROLink should filter the results to the appropriate vehicle.

  • Once you have added the required parts to the Order Pad on the right-hand side, you can click Return Parts To (Auxo)

  • This will take you back to the Purchase List in Auxo, displaying the parts added from Napa PROLink:

  • You can now optionally click Save Draft on the Purchase List, and you will now see the parts from Napa PROLink displayed on the job. However, at this stage, the parts have only been looked up and added to the job but have not been ordered.

Checkout / Order Parts

If you closed the Purchase List screen after loading parts from Napa PROLink, re-add them to the Purchase List screen using the Job Parts button.

With your required parts listed in the Purchase List screen create the Purchase Orders as follows:

  • Click the Create Purchase Order button

  • For any orders linked to Repco Navigator or Napa PROLink you will see the following notification advising "Some line items are from external suppliers. Do you want to open checkouts?"

  • Click "Yes, take me to checkouts"

  • This will open the Napa PROLink Checkout, where you can confirm and place the order, and you will be returned to Auxo Workshop after clicking Send Order.

📝Note: If there are items in the Purchase List that were added from any other supplier integration, the respective checkouts will load one at a time.

Once you have completed the checkout process you will see an Order Created Successfully notification and within the job the order link, indicated by the order icon in the far right column beside each ordered line item.


Ordering Parts for Stock using Napa PROLink (from the Parts List)

To use Napa PROLink to order parts for stock:

  • Select Inventory in the side-menu, and click Parts to open the Parts List

  • Select the Parts you wish to Order in the Parts List and click Add to Purchase List

  • Click the Create Purchase Orders button

  • This will open the full Purchase List, showing the Napa PROLink icon at the top left

  • Click the Napa PROLink button to open the Napa PROLink site

  • Once you have added the required parts to the Order Pad on the right-hand side, you can click Return Parts To (Auxo)

  • This will take you back to the Purchase List in Auxo, displaying the parts added from Napa PROLink

  • You can now optionally click Save Draft on the Purchase List

  • To proceed with placing the orders, click the Create Purchase Order button on the Purchase List

  • For any items in the Purchase List linked to Repco Navigator or Napa PROLink you will see the following notification advising "Some line items are from external suppliers. Do you want to open checkouts?"

  • Click "Yes, take me to checkouts"


Finalising and Receiving Orders from Napa PROLink

Once you have created purchase orders through Napa PROLink using the processes outlined above, you can receive and finalise orders per the usual order process, for more information see the Purchase Orders user guide here.
