๐Ÿ“Š Building Customer Reports from the Customer List

Report recipes using the Customer List, including Create Date, Last Invoice Date, and Last Contact Date

Build seven ready-made customer reports, from win-back campaigns to debtor lists, using columns already available on the Customer List.

The Customer List holds enough detail to build real marketing and finance reports without leaving Auxo Workshop. Some reports can be actioned directly from the list, such as emailing a group of customers using a communication template. Others are better suited to exporting the list and working with the data in Excel, Google Sheets, or an EDM (email marketing) platform such as Mailchimp or other EDM services.


๐Ÿ“‹ Getting Started

  • Click Columns (top-right of the Customer List). Some fields are already visible by default: others, including Create Date, Last Invoice Date, and Last Contact Date, need to be turned on here first

  • Sort or filter the list using the steps in each report below

  • To action a report directly, tick the checkbox next to each customer you want to contact, then click Send Email and choose a template

  • To export a report, click Export to CSV and open the file in Excel or Google Sheets


๐Ÿ“ˆ Reports Using Create Date, Last Invoice Date & Last Contact Date

New Customers

Spotting customers who joined recently means you can welcome them while the experience is still fresh, whether that's a thank you, a check-in on how things went, or a request for a Google review.

  • Sort Create Date newest first, then keep the rows within the period you want, such as this month or this quarter

  • Tick the checkbox next to each customer you want to contact, then click Send Email

  • Choose a template such as a welcome message, a check-in, or a review request, or create a new one if you don't already have something suited to this, then send

Lapsed Customers

Customers who haven't been in for a while are your best win-back audience. Finding them early, before they move to another workshop for good, is worth more than most other marketing you could run.

  • Sort Last Invoice Date oldest first

  • Everyone above your chosen cut-off, for example no invoice in the last 12 months, is your lapsed group

  • Export the list and run a win-back campaign with an offer through an EDM platform such as Mailchimp or other EDM services

Customers Who Have Never Invoiced

These are contacts on your system who have never actually been billed, often old quotes, enquiries that went nowhere, or account-only records. Reviewing them helps you decide whether to follow up or clean them out of your active customer list.

  • Export the list, then filter Last Invoice Date for blank rows in Excel or Google Sheets

Last Sale by Customer

A simple way to see who's most and least recently active, giving you a ready-made priority order for who to contact first when you don't have time to reach everyone at once.

  • Sort Last Invoice Date in either direction depending on whether you want to prioritise your most or least recent customers

Customers You've Recently Contacted

Use this to check who you've already messaged recently, so you can leave them out of a new campaign and avoid it feeling repetitive.

  • Sort Last Contact Date most recent first

Customers You've Never Contacted

A clean starting point for a new campaign: customers who've never had an email or text from you, so there's no risk of duplicating or undoing previous contact.

  • Export the list, then filter Last Contact Date for blank rows in Excel or Google Sheets

  • Or, once you've identified them on the list, tick the checkbox next to each customer and click Send Email to contact them directly using a template

Best Win-Back List (Combined)

Your strongest possible reactivation audience: customers who haven't been in recently and haven't heard from you either.

  • Export the list

  • In Excel or Google Sheets, combine an old Last Invoice Date with a Last Contact Date that's either old or blank

  • Run your reactivation offer through an EDM platform such as Mailchimp or other EDM services

๐Ÿ’ก Tip: You can sharpen any of these reports further by also bringing in Total Spend, Outstanding Balance, or Status, for example lapsed customers who used to spend well, or lapsed customers who still owe money.

Customer Data Quality Score

A quick health check on how much of your customer base you can actually reach by email or text, and where staff need to start capturing missing details.

  • Export the list

  • Count how many customers have an Email Address filled in, and how many have a Mobile No. filled in, against your total customer count

Debtors List

A ranked list of who owes you the most, so you know who to follow up with first.

  • Turn on Outstanding Balance if it isn't already visible, then sort largest first

  • This shows each customer's current total balance only, not how overdue it is

Top Customers by Spend

A ranked shortlist of your highest-spending customers, ready to use for loyalty rewards, VIP treatment, or priority service.

  • Turn on Total Spend if it isn't already visible, then sort largest first
