↔️ Moving Line Items Between Services

Move or copy parts and labour from one service to another on a job, by dragging a single line or by ticking lines and using Move to ... or Copy to ...

Sometimes a part or a labour line ends up in the wrong service. You can move it to the right one without typing it in again.

There are two ways to move lines. You can drag a single line to another service, or you can tick one or more lines and use the Move to ... button. You can also copy lines to another service with Copy to .... All of these work on the same job, and on estimates too.

📝 Note: A service is one of the blocks of work on a job, such as "Full Service" or "Tyre Rotation". You need at least two services on the job to move or copy lines between them.

🖱️ Drag a Line to Another Service

Use this when you want to move one line and choose exactly where it lands.

  • Find the six dot icon in the far left column of the line you want to move.

  • Click and hold the six dot icon, then drag the line over the service you want to move it to. A dashed outline follows your mouse, and a blue dashed placeholder shows where the line will land.

  • Let go of the mouse button to drop the line in place.

Where the line lands

  • Drop it on a line in the other service and it goes above that line if you are in the top half of it, or below that line if you are in the bottom half.

  • Drop it on empty space in the other service and it goes to the end.

  • Drop it into a service with no lines and it becomes the first line.

  • Drop it back in the same service and it simply changes the order of the lines. See Adding and Editing Bookings & Jobs for more on that.

Good to know

  • Only the six dot icon drags a line. The rest of the row is for editing the line.

  • You can drag one line at a time. To move several lines at once, use Move to ... (see below).

  • The move saves straight away. There is no Save button and no confirmation. To undo it, drag the line back.

  • If the move does not save, you will see an error message and the line goes back to where it was.

  • The line keeps its quantity or hours, and its price.

☑️ Move or Copy Several Lines

Use this when you want to move or copy more than one line at a time.

  • Tick the checkbox to the left of Type on each line you want, or tick the checkbox in the top header to select all lines in the service.

  • A row of buttons appears at the top of the service.

  • Click Move to ... or Copy to ..., then click the name of the service you want to send the lines to.

The list shows every other service on the job. If the job only has one service, the Move to ... and Copy to ... buttons do not appear.

Move to ...

  • The lines go to the end of the service you pick.

  • The original lines are moved, so they keep their costs, hours and any links to orders or time sheets.

  • The totals for both services, and for the job, update straight away. If the job has already been invoiced, the invoice updates too.

Copy to ...

  • The copies go to the end of the service you pick. The original lines stay where they are.

  • You can only copy to another service on the same job.

  • One click on the service name is all it takes. There is no confirmation step.

  • Each copy is a fresh line. Its cost is set to 0, the actual hours on labour are set to 00:00, and it is not linked to any purchase order or time sheet.

💡 Tip: After copying, check the cost on the copied lines, because it starts at 0.

The other buttons

  • Remove takes the ticked lines off the service.

  • Apply Pricing Matrix reprices the ticked parts. Read more in the The Pricing Matrix article.

  • Add to Purchase List adds the ticked parts to your Purchase List, ready to order. Read more in the Purchase Orders article.

🔒 Lines That Cannot Be Moved

Some lines are tied to other records, so they stay in their service. Nothing pops up to tell you when this happens, the line just stays where it is. These are the lines to look out for.

  • Labour with clocked time or a time sheet: The checkbox is greyed out, so you cannot tick the line, and you cannot drag it out of its service. The "select all" checkbox in the header skips these lines. To move the time, edit the time sheet and link it to a different service or job.

  • Parts on a purchase order: You can still put these in a different order within their own service, but you cannot drag them to another service. You can tick them, but Move to ... disappears while any ticked line is on a purchase order. Copy to ... and Remove are still there. This covers parts that have been ordered, received or billed.

📝 Note: A part sitting in your Purchase List can still be moved. While it is in the list, its Type and Part No/Code cannot be edited.

🔐 When You Cannot Move Lines

  • Cancelled, paid or part-paid jobs: The checkboxes, the six dot icons and the row of buttons are hidden, so lines cannot be moved or copied.

  • Invoiced jobs that are not paid: You can still move lines. The invoice updates after the move.

  • Jobs with one service: There is nowhere to move a line to, so Move to ... and Copy to ... do not appear.

📋 Moving Lines on Estimates

Lines move on estimates in the same ways as on jobs, with a few extra limits.

  • A service that has been approved or converted cannot receive lines, and it does not appear in the Move to ... list.

  • Once a service is no longer waiting for approval, its lines cannot be moved out.

  • Estimates do not have time sheets or purchase orders, so the limits above for those do not apply.

⏱️ What Happens to Hours and Totals

  • A moved line keeps its quantity or hours, price, and actual hours on labour.

  • The totals for both services, and for the job, update straight away.

  • The Estimated tag next to each service name does not change when you move lines, for example "2h Estimated". It is a figure you type in, not a total of the lines. If moving labour changes how long each service will take, click the pencil icon beside the tag to update it on both services.
