Smartcheck Pro: Getting Started with SmartCheck Pro

Everything you need to set up SmartCheck Pro and complete your first WOF inspection

Updated today

πŸ§ͺ Beta Release: This feature is currently in beta testing and is only available to select customers included in the beta. It will proceed to full release pending beta feedback.

What is SmartCheck Pro?

SmartCheck Pro is Auxo's digital Warrant of Fitness check sheet tool. It replaces paper-based WOF inspection sheets with a secure, structured electronic process that meets NZTA standards. Inspections can be managed directly in SmartCheck Pro or, for Auxo Workshop users, created and tracked from within a job.

πŸ“– For a full overview of SmartCheck Pro, see the SmartCheck Pro Overview article.

Step 1 β€” Activate or sign up

How you get started depends on how you are using SmartCheck Pro:

Using SmartCheck Pro as an add-on for Auxo Workshop

Existing Auxo Workshop customers can enable SmartCheck Pro directly from within Auxo Workshop.

πŸ“– See Add-Ons: Activating SmartCheck Pro (Inspections) for the full activation steps.

Using SmartCheck Pro as a standalone solution

{Guide to be published when SmartCheck Pro Standalone is available.}

Step 2 β€” Log in to SmartCheck Pro

Once activated, SmartCheck Pro is accessed at smartcheckpro.com in any web browser. There is no app to install.

The primary account holder who activated the add-on is automatically assigned the Administrator role and can log in immediately to continue setup.

πŸ“– For device setup tips, including how to add SmartCheck Pro to your home screen for quick daily access on tablets and phones, see Accessing SmartCheck Pro.

Step 3 β€” Configure your organisation

Before running inspections, set up your organisation details. These are used on inspection reports and are required for NZTA compliance.

  • Select Settings from the left-hand menu

  • Open System Configuration

  • Complete your Organisation Details, including Organisation Name, NZTA Authority Number, address, phone, and email

You can also set your preferred Inspection Section Order here by dragging sections into the order that best suits your workshop workflow.

πŸ“– See SmartCheck Pro: Settings – Configuration for full details on each setting.

Step 4 β€” Set up your staff

Inspectors need to be added to SmartCheck Pro before they can complete WOF checks. Each registered WOF inspector must be assigned the Inspector role and have their NZTA Inspector Number recorded.

  • Select Settings from the left-hand menu

  • Open Staff

  • Click Add New Staff and enter their name, email address, and role

  • For inspectors, enter their NZTA Inspector Number exactly as supplied by NZTA

πŸ“ Note: When a staff member is added, SmartCheck Pro automatically sends them an invite email with a link to verify their account and set a password. If the email is missed, they can use the Reset Password option on the SmartCheck Pro login page to set their password.

⚠️ Important: If you use Auxo Workshop, your existing staff will appear in the SmartCheck Pro staff list β€” but you still need to assign them the Inspector role before they can complete WOF inspections.

πŸ“– See SmartCheck Pro: Managing Staff for full details, including roles and removing access.

Step 5 β€” Run your first inspection

With your organisation configured and inspectors set up, you are ready to start completing WOF inspections.

If using SmartCheck Pro with Auxo Workshop

The recommended workflow is to create a job in Auxo Workshop for the WOF, then create a new inspection directly from a service within that job. This keeps the inspection linked to the job and lets you track progress and view results without leaving Auxo Workshop.

Once an inspection is complete, you can view the results from within the job and copy any fail reasons into the job notes to build an estimate for recommended repairs.

πŸ“– See Creating and Reviewing SmartCheck Pro Inspections from a Job for step-by-step instructions.

If using SmartCheck Pro standalone

Log in to SmartCheck Pro and select Start New from the dashboard to begin an inspection directly.

πŸ“– See SmartCheck Pro: How to Start an Inspection for step-by-step instructions.

Inspection credits

SmartCheck Pro uses prepaid inspection credits. Your available balance is shown on the SmartCheck Pro (Inspections) tile in Auxo Workshop under Add-Ons, and under Settings β†’ Subscription in SmartCheck Pro. Top up at any time from either location before your balance reaches zero to avoid any interruption to inspections.

⚠️ Important: SmartCheck Pro runs in a web browser and requires an internet connection. If SmartCheck Pro is unavailable for any reason, paper WOF checksheets can be used as a fallback to ensure inspections are not interrupted.
